As a Technology Admin Assistant, you are responsible for coordinating various TX-related tasks and projects within our organization. This role acts as a key facilitator within the TX department, ensuring alignment and efficiency across various TX teams. The TX Admin Assistant will handle escalation tickets, deliver training programs, manage TX projects, and interact with external vendors and service providers.


Key Responsibilities:


Documentation Management Responsibilities:

  • Act as the Document Controller for the TX Department.
  • Oversee the drafting, updating, and secure storage of all TX Policies, Procedures, Processes, FAQs, and Knowledgebase articles, ensuring they are version-controlled.
  • Partner with the Director of TX to integrate updates, revisions, and new content for review and publication.
  • Keep a documentation register or repository to ensure that only the most current approved versions are accessible to TX staff and stakeholders.
  • Organize document review schedules to guarantee regular updates and the continued relevance of published content.
  • Ensure the confidentiality and controlled access to TX documentation according to role-based permissions.
  • Contribute to process improvement initiatives by creating visual process documentation, such as Data Flow Diagrams, Swim Lane Diagrams, and Flowcharts, using recognized tools (e.g., Visio, Lucidchart).
  • Collaborate with TX teams to capture lessons learned, technical guides, and common troubleshooting procedures to enrich the TX Knowledgebase.


IT Asset Management Responsibilities:

  • Serve as the TX Asset Administrator, ensuring precise and current records of all TX hardware, software, licenses, and accessories.
  • Work alongside TX support teams to gather asset lifecycle data from procurement to disposal, including deployment and maintenance.
  • Guarantee timely tagging, registration, and thorough documentation of all new TX assets in the asset management system.
  • Coordinate routine physical audits and reconciliations to verify the accuracy of asset records.
  • Assist in creating asset reports, detailing utilization, depreciation, and inventory gaps for management and auditing purposes.
  • Keep asset assignment records, ensuring that issued equipment to employees is accurately documented and acknowledged.
  • Support TX procurement by providing updated asset inventory data and assisting in forecasting future replacement needs.


We would need you to be or have the following…

  • At least 1 year of experience in TX documentation or asset management
  • Strong understanding of document control, versioning, and maintaining policy and procedural documents
  • Familiar with TX Asset Management best practices and lifecycle tracking
  • Proficient in Microsoft Word, SharePoint, or similar document management platforms
  • Skilled in creating process documentation using tools like Microsoft Visio or Lucidchart (e.g., Data Flow, Swim Lane, Flowcharts)
  • Strong attention to detail and excellent organizational skills
  • Outstanding communication and coordination abilities for cross-functional collaboration
  • Ability to manage sensitive information with integrity
  • Ability to work independently and meet deadlines
  • Basic understanding of TX infrastructure, software, and hardware is a plus
