  • Position Title: Administration Officer
  • Work Location: Cebu Exchange Tower, Salinas Drive, Lahug, Cebu
  • Work Schedule: Mon-Fri, 9am-6pm
  • Salary Budget: Php28,000 – Php30,000

 

Duties and Responsibilities:

1.        HR & Administration Policy Implementation

a.        Ensure HR and Administration policies are effectively implemented and adhered to, maintaining alignment with organizational standards and legal compliance.

 

2.        Vendor and Contractor Management

a.        Liaise with external vendors and contractors for office services, ensuring quality and compliance with contractual agreements.

b.       Negotiate contracts to optimize cost-efficiency and service delivery standards.

c.        Oversee payment processing, monitor transactions, and collect receipts, including cash management when required.

 

3.        Business Travel and Event Coordination

a.        Arrange business travel logistics, including accommodations, transportation, and itineraries for employees.

b.       Coordinate venue selection and logistical arrangements for corporate events and meetings.

 

4.        Office Inventory and Resource Management

a.        Maintain and monitor office inventory, ensuring timely procurement and efficient allocation of resources and assets for daily operations.

 

5.        Logistics and Courier Management

a.        Manage logistics arrangements, including shipments and courier services, to ensure timely and accurate delivery of items.

 

6.        Expense and Reimbursement Processing

a.        Process office expense requests and coordinate reimbursements for administrative and HR-related expenditures.

b.       Maintain accurate and organized financial documentation for tracking and reporting purposes.

 

7.        Legal and Regulatory Compliance

a.        Ensure employment and workplace policies align with local labor laws and industry standards.

b.       Collaborate with legal and compliance teams to address regulatory requirements.

 

8.        Office Administration and Reporting

a.        Prepare and maintain HR and administrative reports, records, and documentation, ensuring data confidentiality and accuracy.

b.       Act as the primary point of contact for HR and administration queries, addressing employee inquiries and liaising with external stakeholders as necessary.

c.        Provide general administrative support, including filing, documentation, and other tasks to enhance operational efficiency.

 

9.        Facilities Management

a.        Oversee the upkeep of office facilities, coordinating maintenance, repairs, and improvements to maintain a safe and functional work environment.

 

10.   Employee Support and Engagement

a.        Address employee concerns related to administrative matters promptly and professionally.

b.       Provide flexible support across departments, including assistance with special projects or ad hoc tasks as needed.

 

Qualifications:

1.        Bachelor’s degree in Human Resources, Business Administration, or a related field.

2.        Proficient interpersonal and communication skills.

3.        Proficiency in HR software, Microsoft Office, and other administrative tools.

4.        Detail-oriented with excellent organizational and multitasking abilities.

5.        Ability to maintain confidentiality and handle sensitive information with discretion.
