Duties and Responsibilities:
1. Receiving and Inspecting Deliveries
- Receive and inspect deliveries, verifying quantities and specifications against purchase orders. Document receipt, tag items, unpack, and update inventory records. Forward invoices to accounting and input data into the inventory management system.
2. Storing and Organizing Inventory
·Maintain a clean, organized, and safe storage area using FIFO methods. Arrange goods for easy access, monitor item condition, and implement strategies to minimize waste and spoilage.
3. Issuing and Recording Stock
- Process item requisitions, ensuring proper authorization. Retrieve and issue stock (FIFO), update inventory records, and forward documentation to accounting. Input daily issuance data into the inventory system.
4. Inventory Monitoring and Stock Control
- Par Stock Maintenance: Monitor stock levels to ensure they meet established par levels.
- Stock List Preparation: Identify items needing replenishment and list them accordingly.
- Inventory Checks: Conduct regular physical and perpetual inventory counts.
- Damage and Loss Prevention: Inspect inventory regularly to reduce spoilage, damage, or loss.
5. Purchasing Support and Supplier Coordination
- Place and track orders, ensuring timely delivery. Conduct market research to maintain competitive pricing and product quality. Liaise with suppliers on product availability and pricing.
6. Records Management and Reporting
- Maintain accurate and up-to-date filing systems for all requisitions, receiving reports, and stock issuances. Generate regular inventory status and movement reports.
7. Compliance and Housekeeping
·Maintain safety and sanitation standards, adhering to all policies. Keep storage and receiving areas clean and organized. Properly use, clean, and store equipment. Contribute to cost control initiatives.
8. Training and Development
- Participate in mandatory training sessions, inventory briefings, and departmental meetings as well as stay current on best inventory management practices and safety protocols to enhance efficiency.
- Must be a college graduate, preferably with a degree in Business Administration, Hotel and Restaurant Management, Logistics, or a related field.
- At least 1 year of experience in inventory control, warehouse operations, or receiving (hospitality industry experience is an advantage).
- Proficient in Microsoft Office applications, particularly Excel; familiarity with inventory or procurement systems is preferred.
- Good communication skills in English, Filipino and Ilocano (an advantage).
- Physically fit and able to lift or move items as required.
- Knowledge of FIFO method, food safety, and basic purchasing procedures is a plus.
