Position Summary:
The Payroll Specialist manages accurate and timely payroll processing for employees in Australia, the United States, and the Philippines. The role involves handling multiple pay cycles, ensuring compliance with local tax laws, and using payroll systems such as Sprout, Paychecks/Access, and other relevant platforms.
This position requires a detail-oriented, experienced individual who is skilled in managing complex payroll data across multiple jurisdictions and pay schedules.
Key Responsibilities:
- Payroll Processing:
- Administer payroll for employees across Australia, the US, and the Philippines, ensuring accurate and timely processing for all pay cycles (weekly, bi-weekly, monthly).
- Ensure employee pay information is correct, including base salary, hourly wages, bonuses, commissions, and deductions.
- Process payroll for at least 200+ employees, adjustments, terminations, new hires, and changes in employee status as needed.
- System Management:
- Use payroll systems such as Sprout, Paychecks/Access, and other payroll platforms to input, process, and track payroll data.
- Troubleshoot system issues and implement improvements to optimize payroll workflows.
- Compliance & Legislation:
- Ensure compliance with local payroll regulations, tax codes, and labor laws in each region (Australia, US, and Philippines).
- Keep up-to-date with any changes in legislation affecting payroll operations, taxes, benefits, and deductions.
- Reporting & Reconciliation:
- Generate payroll reports, including tax filings and year-end documentation (e.g., W-2s, payslips, superannuation reports).
- Reconcile payroll accounts and assist with internal or external audits as required.
- Assist with reporting for government agencies and regulatory bodies.
- Cross-Department Collaboration:
- Coordinate with HR, Finance, and senior management teams to resolve payroll discrepancies or employee inquiries.
- Provide support for payroll-related matters during audits or special projects.
- Continuous Improvement:
- Identify opportunities to streamline payroll processes, improve efficiency, and reduce errors.
- Assist in implementing new payroll technologies or updates to existing systems to ensure the continued accuracy of payroll processing.
- Ad Hoc Responsibilities:
- Handle ad hoc payroll-related tasks as assigned by the Payroll Manager or other senior leaders.
- Participate in training and development to maintain proficiency in payroll processes and system upgrades.
Key Requirements:
- Experience:
- At least 5 years of experience in payroll processing, with a focus on multi-country payroll in Australia, the United States, and the Philippines.
- Demonstrated experience in managing payroll systems such as Sprout, Paychecks/Access, or similar platforms.
- Strong understanding of payroll legislation, taxation, benefits, and deductions for the regions mentioned.
- Technical Skills:
- Proficient in payroll systems and related software.
- Advanced knowledge of Microsoft Excel or other spreadsheet tools for payroll reporting and reconciliation.
- Attention to Detail:
- Strong attention to detail, particularly in reviewing payroll data for accuracy and compliance.
- Communication:
- Excellent communication skills, with the ability to interact professionally with employees at all levels.
- Ability to explain complex payroll matters in simple terms to non-experts.
- Problem Solving:
- Strong analytical and problem-solving skills, with the ability to resolve discrepancies quickly and effectively.
- Organizational Skills:
- Ability to manage multiple pay cycles simultaneously while meeting deadlines.
Preferred Qualifications:
- Certification: (CPA) or (CPP) or other relevant payroll certifications is preferred.
- Global Payroll Exposure: Experience processing payroll for additional countries or regions would be an advantage.
