Supervises site Facilities operation and ensures all non-IT equipment is running efficiently. He/She possesses a solid understanding of the Facilities process, able to mentor, coach, and lead Facilities Coordinators (Facilities & Admin Asst.) to ensure timely and accurate responses to site concerns.
The Facilities Supervisor shall be primarily responsible for performing below essential functions, but not limited to the following:
Facilities Management:
- Manages and supervises the site's overall facilities operations and maintenance program.
- Leads annual physical count of all non-IT assets, and is in charge of monitoring all inter-site asset transfers and disposals.
- Assist with major project renovations and coordination with building personnel and other department.
- Establishes a positive but firm relationship with the lessor and ensures, through careful monitoring, that building and equipment maintenance obligations are properly fulfilled.
- Monitor site utilities and provide control, analysis, and assist in forecasts of consumption based on budget.
Equipment Maintenance:
- Coordinates the day-to-day maintenance and repairs of the building/site and grounds.
- Monitors compliance with preventive and corrective maintenance schedules and completion, as well as the condition of equipment and other system.
- Initiates meetings with building admin, vendors, and stakeholders to ensure 100% uptime of both the lessor and Foundever-owned equipment.
- Abreast on-site equipment installation; inspections; repairs and maintenance history of building systems (including mechanical, electrical, plumbing, HVAC, architectural, and waste management) and provide technical assistance to contractors and Facilities Coordinators (Facilities & Admin Asst).
- Reviews and recommends possible improvement.
- Performs emergency on-site maintenance.
Administrative Responsibilities:
- Responsible for the selection, profiling, and development of personnel to ensure retention.
- Generates realistic individual development plans for associates to promote quality of service.
- Conduct training and actively provide coaching sessions to associates.
- Evaluates associate’s performance and generates yearly appraisals.
- Represents Facilities on client-initiated site audits.
- Generates, updates, safekeep, and maintains reports of site and critical equipment status as needed and as required.
- Monitor and maintain the site’s consumption/utilization and budget vs actual reports.
- Interact with various inter-site departments & if necessary, regulatory agencies on resolving non-complex matters/issues relative to the compliance of existing rules and regulations
- Keeps updated with the latest announcements/requirements from local/national government agencies that may impact/impede facilities' daily function
- Performs other related duties and special assignments that may be assigned from time to time.
- Should have a well-developed degree of communication skills when communicating with stakeholders and direct managers or higher.
Health and Safety:
- Point of contact for government agencies for Environment, Health and Safety.
- Functions as the Safety Officer and/or member of the Site Health and Safety Committee.
- Maintains and establishes a system to provide a safe working environment. Ensures compliance with Occupational Safety and Health Standards as required by the Department of Labor and Employment (DOLE)
- Maybe assigned as Pollution Control Officer based on the Department of Environmental and Natural Resources Guidelines.
- Conducts and coordinates training and orientation on the Environmental Health and Safety Program.
- Active member of the site’s BCP team.
Work Order Management:
- Tracks facilities service requests and ensures timely completion/closure with high-quality standards.
- Supervise and ensure closure of all requests of the operations team and other support groups related to equipment set up, venue, permit processing, and coordination to building admin/security.
- Provide reports and/or analysis of the tickets raised vs completion within or outside the agreed SLA.
- Supervise first-hand analysis, troubleshooting, and coordination with vendors or contractors for immediate repairs.
Incident Management:
- Supervise and address any incident related but not limited to power, aircon, safety, water, and/or downtime of Foundever and/or building-owned equipment that can impact operations.
- Provide an initial RCA report of the incident.
- Provide supervision of vendor/team’s troubleshooting and coordination.
- Project Management:
- Takes the lead and supervises implementation on any initiatives planning and implementations (such as Enercon, watercon and waste management) with consideration to operations.
- Understand how to read/translate/interpret plans and layout plans.
- Provide support to the Facilities Manager and Project Management Team.
Supervise major and minor renovation and coordination with contractors, building admin personnel, and other departments/accounts.
